Overview
By default, when you send an email from a connected inbox you can type any email address into the To field, whether or not it belongs to a known contact. This per-inbox setting lets you lock that down: when it is enabled, the To field only accepts addresses that match an existing contact in Kolleno. Free-typed, unrecognised addresses are blocked.
This is useful for inboxes that must only communicate with verified contacts — for compliance, control, or data-quality reasons.
Who can change this
This setting is configured per connected inbox, not globally. An admin enables it on each inbox where the restriction should apply.
How to turn it on
Go to Settings → Email Profiles
Select the email profile you want to restrict.
In "Outbound recipients" select "Existing contacts only".
Click on "Save".
What if the recipient isn't a contact yet?
If the person you want to email is not yet in Kolleno, add them as a contact first. Once the contact exists, their address becomes selectable in the To field.
Good to know
The restriction is scoped to the individual inbox — enabling it on one inbox does not affect others.
This only imapcts emails sent manually.
