Overview
Kolleno automatically synchronizes customer details from QuickBooks Online (QBO) into your Kolleno contacts. This ensures your customer information is always up to date and consistent between both systems.
How Synchronization Works
When Kolleno connects to QuickBooks Online, it:
Fetches customer records from QuickBooks
Creates or updates contacts in Kolleno based on those records
Keeps key details in sync whenever changes are made in QuickBooks
Synchronization happens automatically during:
Customer data syncs
Invoice and payment processing
What Information is Synced
The following fields from QuickBooks are mapped into Kolleno:
QuickBooks Field | Kolleno Field | Description |
GivenName | First name | Customer’s first name |
FamilyName | Last name | Customer’s last name |
PrimaryEmailAddr.Address | Email address | Primary email address |
PrimaryPhone | Phone number | Main phone number |
AlternatePhone | Phone number | Additional phone number |
Mobile | Mobile number | Saved as a mobile type |
Id | Source ID | QuickBooks customer ID (for tracking). See how here. |
Update Behavior
If a customer’s details change in QuickBooks, Kolleno updates the contact during the next sync.
Phone numbers from QuickBooks are replaced with the latest numbers each time — but any phone numbers you manually add in Kolleno stay untouched.
Best Practices
Always keep customer information up to date in QuickBooks — Kolleno pulls directly from there.
Use consistent naming (first and last names separated).
Make sure email addresses and phone numbers are entered correctly in QuickBooks.
