Restrict email recipient suggestions to customer contacts

Turn on a company-level setting so the email "To" dropdown suggests only customer contacts and hides internal Kolleno users.

Overview

When you compose an email in Kolleno and click into the To field, the suggestions dropdown normally shows both your customer contacts and internal Kolleno users from your team. This company-level setting lets admins restrict those suggestions to customer contacts only, so internal users no longer appear in the recipient list.

This reduces noise when addressing emails and removes the risk of accidentally sending a customer-facing email to a colleague.

Who can change this

This is a company-wide setting and can only be changed by an admin. Once changed, it applies to every user in your company.

How to turn it on

  1. Go to SettingsEmails.

  2. Find the Settings icon in the top-right.

  3. Select "Customer contacts".

  4. Click on 'Save'.

Good to know

  • This setting only affects the suggestions shown in the To field. It does not change who already received past emails.

  • It applies to all users in the company — it is not a per-user preference.

  • If you also need to prevent users from typing in arbitrary email addresses, see the per-inbox setting "Only allow sending to existing Kolleno contacts".
