Suggest Reconciliation Rules From Your Past Matches

Let Kolleno suggest matching rules from the payments your team matched by hand.

Kolleno can examine the bank payments that your team matched by hand and suggest matching rules from them. You review each suggestion and add it as a rule. Nothing changes in your reconciliation until you save a rule.

Before you start

Open the AI Suggestions tab

  1. Go to Reconciliation and open a bank account.

  2. Click the settings icon, then select "Reconciliation rules".

  3. Select the "AI Suggestions" tab.

Get suggestions

Click "Suggest rules". Kolleno analyzes your manual matches in the background and sends you an email when the suggestions are ready. You can leave the page while the analysis runs.

A new analysis replaces the suggestions that still wait for review, so Kolleno asks you to confirm first. If the analysis does not finish, click "Try again".

Kolleno sends the email only when "Achievements" is selected in your personal notification settings.

Review a suggestion

Click a suggestion to expand it. An expanded suggestion shows:

  • The suggested rule, with the same fields as the rule builder.

  • How many of your manual matches agree with the rule, for example "6 of your 43 manual matches in the last 180 days agree with this rule".

  • A maximum of five example matches. Click "Open match" to see the full match.

Add a suggested rule

  1. Click "Review and edit". The rule builder opens with the suggested rule filled in.

  2. Change the rule if necessary. To check it against your transactions, click "Test rule".

  3. Click "Save rule".

Kolleno adds the rule to the "Matching rules" tab and removes the suggestion from the list.

A suggested rule starts with "Auto-apply" off, so a person confirms each match before Kolleno posts it. When you trust the rule, turn on "Auto-apply".

The list is in the order in which the rules must run. To keep this order, add the rules from the top of the list to the bottom.

Dismiss a suggestion

Click "Dismiss", then confirm. You cannot get a dismissed suggestion back, but a later analysis can suggest the same rule again.

How Kolleno finds suggestions

Kolleno uses the matches that a person in your team made by hand in the last 180 days, up to the latest 5,000. It does not use matches that a rule or AI made, matches made from a remittance advice, deleted matches, outgoing payments, or matches to deposits, existing payments or documents in another currency.

Frequently asked questions

Why did Kolleno not suggest any rules?

Kolleno needs 3 or more manual matches that follow the same pattern. Run the analysis again when your team has matched more payments by hand.

Why does Kolleno not suggest Oldest first or Largest first rules?

These strategies depend on the invoices that were open on the day of the payment. Kolleno does not keep that history, so it cannot check these rules.

Do other users see the same suggestions?

Yes. When a user adds or dismisses a suggestion, it leaves the list for all users.
