How suggested matches are determined

Learn how Kolleno suggests invoice matches when applying a payment.

When you select a payment in Kolleno, the system automatically suggests which invoices or transactions it might relate to.

Each suggestion will display the reason it was selected.
Each suggestion shows the reason it was selected, giving you full transparency and control. This makes it easy to understand Kolleno’s recommendation and decide whether to confirm or adjust it.

Matching rules

What it means

Full Balance Match

Payment amount exactly matches the full outstanding Balance of an Invoice.

Partial Balance Match

Payment amount covers part of an Invoice Balance, but not the full amount.

Full Reference Match

Payment reference (e.g., Payment Note or Remittance Reference) exactly matches an invoice reference number.

Partial Reference Match

The payment reference partially matches an invoice reference (e.g., includes part of the Invoice Number or Customer Reference).

Bank Account Match

The bank account details in the payment match the account linked to a customer’s invoice.

Date Proximity Match

The payment date is close to the invoice date (for example, within a certain Number of Days).

Smart Match

A system suggestion that combines multiple factors, Amount, Date, References, and Customer Account.
