Sometimes customers only pay part of an invoice (e.g., half upfront and half later). Kolleno allows you to record partial payments, reconcile them with your ERP system, and keep track of the remaining balance until the customer completes payment.

Step 1 – Locate the Invoice
Navigate to the Invoices section.
Search for the invoice by reference number (e.g., Invoice #54).
Review the total outstanding amount and compare it to the payment received.
Step 2 – Review Payment Details
Scroll down to view the Payment Amount, Invoice Unmatched Amount, and Difference.
Confirm that the payment received corresponds to the portion you want to apply (e.g., half the invoice total).
Step 3 – Adjust the Applied Amount
In the Amount to Apply field, Kolleno defaults to the full unmatched invoice balance.
If the payment is partial, update this field to reflect the received amount.
Example: Total invoice = 1,361.00 → Payment received = 680.50 (half).
Verify the amount matches the actual payment before proceeding.
Step 4 – Match the Partial Payment
Once the correct amount is set, click Match.
Before pushing, review the invoice record to confirm the current outstanding balance.
Push the matched payment to your ERP (e.g., NetSuite).
Step 5 – Verify in ERP
Refresh your ERP system.
You should see:
The invoice balance reduced by the partial payment.
A payment record created and linked to this invoice.
Step 6 – Apply Remaining Balance Later
When the customer makes the next payment, search for the same invoice.
You’ll see the updated outstanding balance (e.g., the remaining half).
Repeat the same process to apply the new payment.
