Add a NetSuite field to Kolleno

Add a standard or custom NetSuite field to Kolleno and show it as a column and a filter.

You can add a standard or a custom NetSuite field to a record type. Kolleno then pulls the field in each sync and can show it as a column and a filter.

Add a field

  1. Open the NetSuite fields page. Refer to NetSuite field configuration: overview.

  2. In the list on the left, select the record type, for example Invoice.

  3. Click Add field.

  4. In the search box, type the name, the ID or the type of the field.

  5. Select the field. Custom fields and standard fields show in two groups.

  6. Under Show as, select how Kolleno shows the value. Refer to "Show as options" below.

  7. Look at the values. To give your own names to the values, refer to Name NetSuite values in Kolleno.

  8. Under In Kolleno, type the Name in Kolleno.

  9. To show the field as a column and a filter, set Show as a column and filter to on.

  10. Under Filter as, select the type of filter.

  11. Optional: under Also show on, select the other tables that show the field.

  12. Click Add field.

When you save a field, Kolleno does a check with NetSuite. If NetSuite rejects the field, Kolleno shows the error.

The field gets its values in the next NetSuite sync.

ℹ️ If the search does not find your field, type the NetSuite ID of the field, for example custbody_priority. Refer to Find a NetSuite field internal ID.

Show as options

Kolleno shows only the options that apply to the field.

Option

What Kolleno shows

NetSuite name

The name that NetSuite shows for the linked record, for example "Net 30".

Another field of the linked record

A different field of the linked record, for example the symbol of a currency or the legal name of a subsidiary. Select the field in Field of ….

Internal ID

The number that NetSuite uses for the record.

As in NetSuite

The value as NetSuite keeps it. This option is for fields that do not point to a different record.

Your own names

The names that you give to the values. A value without a name shows its ID.

You can add the same field more than one time with a different Show as option. For example, you can show a subsidiary by its name and by its ID.

Filter types

Filter

How it works

List of values when possible

The filter shows the values for you to select. If the field has more than 500 values, the filter is free text.

Free text

The filter finds the text that you type. Use it for a field with too many values.

Date or Number

The filter compares the values, for example "after 1 March".

Yes / no

The filter shows yes and no for you to select.

Edit a field

  1. In the fields table, find the field.

  2. Click the edit icon.

  3. Make the changes.

  4. Click Save.

You cannot change the NetSuite field of an entry. To pull a different field, add a new field.

Stop pulling a field

  1. In the fields table, find the field.

  2. Click the delete icon.

  3. In the Stop pulling this field? dialog, click Stop pulling.

Kolleno removes the column and the filter. The values that Kolleno has already pulled stay on the existing records.

You cannot remove a field with the label Always pulled or Used by settings. Kolleno or a NetSuite setting in Kolleno uses these fields. For a Used by settings field, change the setting first.
