NetSuite field configuration lets your admins choose the NetSuite fields that Kolleno pulls for each record type. You can also choose how Kolleno shows each value, and you can use each field as a column and a filter in Kolleno.
What NetSuite field configuration does
With NetSuite field configuration, you can:
Select the standard and custom NetSuite fields that Kolleno pulls.
Select how Kolleno shows a value that points to a different record, for example a payment term or a subsidiary.
Give your own names to NetSuite values.
Show each field as a column and a filter in Kolleno tables.
Preview the data that NetSuite returns before you switch your syncs to the configuration.
Who can use it
Only users with the Admin role can open the page. Other users do not see it.
Your company must have an active NetSuite connection.
ℹ️ This is an optional setting and is turned off by default. Contact your Customer Success Manager or Kolleno Support to enable it for your account.
Where to find it
Go to Settings > Accounting integrations.
On the NetSuite card, open the options menu.
Click Configure fields.
The NetSuite fields page
The page has three parts:
The main switch, Pull fields from this configuration. This switch tells Kolleno to use the configuration in your syncs. Refer to Switch on NetSuite field configuration.
The record types. The list on the left shows the record types: Customer, Invoice, Credit memo, Customer payment, Contact and Billing account.
The fields table. The table shows the fields that Kolleno pulls for the record type that you select.
The fields table has these columns:
Column | What it shows |
Name in Kolleno | The name of the field in Kolleno. Kolleno uses this name for the column and the filter. |
From NetSuite | The NetSuite field and its type. |
Shown as | How Kolleno shows the value, for example NetSuite name or Internal ID. |
Show as column and filter | If the field is a column and a filter in Kolleno, and the type of filter. |
Also visible on | The other Kolleno tables that show the field, for example Invoices. |
A field can also have a label:
Label | What it means |
Always pulled | Kolleno always pulls this field because Kolleno uses it. You cannot remove it. |
Used by settings | A NetSuite setting in Kolleno reads this field. You cannot remove it until you change that setting. |
Not pulled | NetSuite rejected the field, so Kolleno does not pull it. Refer to Fix a NetSuite field that Kolleno does not pull. |
N without a name | Kolleno has values for this field that have no name to show. Kolleno shows the ID of these values. |
How the configuration works with your NetSuite sync
The configuration has no effect until you switch it on. Until then, your syncs use the field lists that Kolleno set up for your account.
When you switch it on, the next sync pulls the fields in the configuration.
The configuration changes only the fields that Kolleno pulls. Kolleno continues to sync your customers, invoices, payments and other records.
Kolleno reads NetSuite with the role of the user who connected NetSuite. If that role cannot see a field, Kolleno cannot pull the field.
