Name NetSuite values in Kolleno

Give your own names to NetSuite values so Kolleno shows them in tables and filters.

Some NetSuite fields point to a different record, for example a payment term, a subsidiary or a list value. Kolleno keeps a list of the values for each of these fields. You can give your own names to these values. Kolleno then shows your names in tables and filters.

How names work

  • A name that you give applies to every field that uses the same values. For example, if two fields use your list of regions, both fields show your name.

  • If you select Your own names in Show as, Kolleno shows your names. A value without a name shows its ID.

  • With the other Show as options, Kolleno shows the NetSuite name. Type a name only where you want a different name.

Give names to values

  1. Open the field. Click Add field, or click the edit icon of a field.

  2. Go to the values section.

  3. Find the value. To find a value, type in Search values.

  4. Type the name in the Name in Kolleno column.

  5. Click Add field or Save.

To show only the values that have no name, select Only values not named in Kolleno.

Paste names from a spreadsheet

  1. Click Paste names.

  2. Paste two columns from your spreadsheet. The first column is the ID of the value. The second column is the name.

  3. Click Apply.

  4. Click Add field or Save.

Put one value on each line. Kolleno ignores a line without a name. If an ID is not in the list, Kolleno adds it when you save.

Update the values from NetSuite

When the configuration is on, Kolleno updates the values after each daily NetSuite sync. When a sync finds a new value, Kolleno also updates the list.

To update the values immediately, click Refresh from NetSuite.

Value labels

Label

What it means

Inactive

The value is inactive in NetSuite.

Not in NetSuite

Kolleno has records with this value, but NetSuite did not return it.

In the fields table, the label N without a name shows the number of values that have no name. Kolleno shows the ID of these values.

Limits

  • Kolleno keeps up to 5,000 values for each field. If a field has more values, Kolleno lists only the first 5,000. The other values show the NetSuite name, and the filter is free text.

  • A filter shows a list of values only if the field has 500 values or fewer. If the field has more values, the filter is free text.

  • For some fields, NetSuite cannot give a list of values. Kolleno then shows the value that NetSuite sends for each record.
