When setting up your Kolleno integration with NetSuite, you may have custom fields that contain important business data. These custom fields need to be explicitly requested and configured by the Kolleno team to be imported and synced into Kolleno. This article explains what information you need to provide to support so we can add these fields to your integration.
Important Requirements
⚠️ Before requesting a custom field import, ensure:
The custom field already exists in NetSuite
The custom field is populated with data on existing records
If a field does not exist, synchronization errors will occur and may stop your syncs from running
Steps
Verify the custom field exists in NetSuite and contains data on at least one record (customer, invoice, credit note, or payment).
Find the internal ID for the field. Follow the steps in our Find a NetSuite field internal ID article.
Identify a record example where the field is already populated:
Gather the required information for each field:
Kolleno URL(s): Your Kolleno instance URL (or multiple URLs if you have multiple instances)
Field internal ID: The internal ID from NetSuite (e.g.,
custentity7,custbodypaymentpending)Field level: Where the field exists in NetSuite (Customer, Invoice, Credit Note, Payment, or Journal Entry)
Field type: The data type of the field (String, Number, Boolean, Date, Select, Multi-select)
Display preferences: Whether you want the field to appear as a column in Kolleno and/or as a filter option
Example record: A customer or invoice number where the field is populated (so we can verify it's working)
Submit a support request with all the information listed above. Include details about how you plan to use each field in your workflows.
Wait for confirmation from the Kolleno team. We will configure the field imports and notify you when they are live in your instance.
