The NetSuite field configuration has no effect on your syncs until you switch it on. This article tells you how to switch it on, how to switch it off, and what to do if you cannot switch it on.
Before you start
Add the fields that you want for each record type. Refer to Add a NetSuite field to Kolleno.
Select each record type and click Preview. Make sure that the data is correct.
The preview shows the first records that NetSuite returns with the current configuration. The preview does not save data.
What happens when you switch it on
From the next sync, Kolleno pulls the fields in the configuration. Before, Kolleno pulled the field lists that Kolleno set up for your account.
Kolleno adds the fields from those lists to the configuration. Kolleno continues to pull these fields in the same way.
A field that Kolleno adds in this way shows this note: "Carried over from the field lists set up by Kolleno and pulled exactly as before." To use date formats and typed filters for this field, add the field again.
Switch on the configuration
Open the NetSuite fields page. Refer to NetSuite field configuration: overview.
Click the Pull fields from this configuration switch.
Read the message in the Switch syncs to this configuration? dialog.
Click Switch.
The label at the top of the page changes from Legacy field lists to Self-serve fields on.
Switch off the extra fields for one record type
Each record type in the list on the left has a switch. This switch controls only the extra fields for that record type. Kolleno continues to sync the records.
Find the record type in the list on the left.
Click the switch next to the record type.
You can use these switches only when the main switch is on.
Switch off the configuration
Click the Pull fields from this configuration switch.
From the next sync, Kolleno pulls the field lists that Kolleno set up for your account. Kolleno keeps your configuration, so you can switch it on again later.
If you cannot switch it on
⚠️ If the page shows "Self-serve fields cannot be switched on for this company while:", Kolleno cannot add some of your current fields to the configuration. The message shows the names of these fields. Contact Kolleno Support at support@kolleno.com and send the message.
If a record type uses a custom query
For some accounts, Kolleno pulls a record type with a custom SuiteQL query. These record types show Custom query in the list on the left. The fields that you configure do not apply to these record types. To change what the query pulls, contact Kolleno Support.
