Your NetSuite data is synchronized with Kolleno through two complementary mechanisms to ensure accuracy and reliability.

Understanding how these work together helps you manage your data synchronization expectations.


How NetSuite Synchronization Works

Kolleno uses two types of synchronization to ensure your NetSuite data is always accurate:

1. Frequent Incremental Updates

Kolleno checks for NetSuite changes via webhook events approximately every 3 minutes. This ensures updates are reflected quickly during business hours. Find out more about NetSuite Synchronization Frequency change in Kolleno

What this means: When you create or update a record in NetSuite, it typically appears in Kolleno within minutes.

2. Daily Synchronization (Redundancy Sync)

In addition to webhook-based updates, Kolleno runs a daily synchronization that pulls all NetSuite changes since the last daily run.

Why this matters: This daily sync acts as a redundancy and fallback mechanism, ensuring any missed or delayed webhook events are still captured and your data remains accurate.


Can I Customize My Daily Sync Schedule?

If your business requires additional redundancy syncs at specific times, custom sync hours can be configured.

When Custom Sync Hours Are Useful:

  • You need a scheduled "catch-up" sync before your team starts work

  • You want additional redundancy runs throughout the day

  • You prefer syncing at times aligned with NetSuite batch processes or workflows

  • You operate across multiple timezones and need data refreshed at specific times

Examples of Custom Configurations:

  • Single daily sync at 9:00 AM: Refreshes data before business hours

  • Twice daily (6:00 AM and 6:00 PM): Ensures data is current at start and end of day

  • Three times daily (8:00 AM, 2:00 PM, 8:00 PM): Maximum redundancy throughout the business day


How to Request Custom Sync Hours

To request a change to your daily sync schedule, please contact Kolleno support with the following information:

  1. Your preferred sync hour(s) in 24-hour format

  2. Your company's timezone

  3. Business reason for the custom schedule
