How to record overpayments?

Learn how to record and reconcile customer payments that exceed the invoice amount.

Sometimes a customer might pay more than the invoice total — for example, due to rounding, advance payments, or manual errors. This guide explains how to record and reconcile such overpayments correctly in Kolleno, and how they appear once posted to NetSuite.

How it works:

  1. Select the transaction with overpayment:

    • Select the payment transaction (e.g. $600).

    • You’ll see the linked invoice and its unmatched amount (for instance $540.17).

  2. Locate the difference:

    • The system will automatically suggest applying $540.17 to the invoice.

    • Scroll to the bottom of the reconciliation window.

    • You’ll see a difference (e.g. –59.83), which represents the overpayment amount.

  3. Record the overpayment

    • Take the overpayment amount (59.83 in this example).

    • Select the same customer and enter the overpayment as a positive value (not negative).

    • Once entered, the difference should show 0, confirming the match is balanced.

  4. Confirm and post

    • On the confirmation screen, you’ll see a breakdown:

      • $600 payment received into deposited funds

      • $540.17 applied to the invoice

      • $59.83 recorded as a credit on account for the customer

    • Proceed to match and post to NetSuite.

  5. View in NetSuite

    • Once reconciled, open the invoice in NetSuite.

    • The invoice will appear paid in full, with payment history showing:

      • $600 applied to the invoice

      • $59.83 remaining as unapplied (available credit) on the customer’s account
