Kolleno allows you to reconcile bank statement lines directly against your NetSuite Bank Deposits. Bank Deposits represent payout entries in NetSuite.
If you want background on how payouts can create deposits in NetSuite, see: Reconcile payments automatically in NetSuite.
Important
Because the deposit record already exists in your ERP, matching it in Kolleno is strictly for reconciliation purposes.
No new data will be posted to NetSuite during this process. The goal is to verify and clear the bank transaction within Kolleno.
How to Apply Payments to Deposits
Step 1: Select the Bank Transaction
Navigate to Bank Reconciliation and select the bank transaction you want to reconcile from the left panel.
Once selected, the "Find & select records to match" section will appear on the right.
Step 2: Find Your Deposit
In the "Find & select records to match" section, you can filter by Line category to help you identify the Deposit more easily.
Locate and check the checkbox next to the deposit record that corresponds to your bank payment.
Step 3: Check Amounts
Once you've applied the payment to the deposit:
Review the amount to apply this field is auto-populated with the payment amount but can be adjusted if needed.
Verify the deposit reference and amount match your bank statement.
Click Match to confirm.
If the amount does not match due to:
Bank fees withheld, see How Kolleno Reconciles Bank Fees in NetSuite.
Currency conversion (FX) differences, see How Kolleno Handles Customer Payments for Invoices in Different Currencies.
Step 4: Review & confirm it’s cleared
After matching, the transaction will move in to Review & Reconcile and will no longer appear as an unmatched bank statement line.
Select the matched transaction.
Click Reconcile to NetSuite to complete the reconciliation flow.
Even though the action is called “Reconcile to NetSuite”, no new data will be posted to NetSuite when the match is against a Deposit.
To audit later, open Reconciliation History and click into the transaction to view the Matched transaction details and the Match ID
