Resolving Email Integration Disconnection in Kolleno

If Kolleno loses connection with your Email integration, you may see an alert sent similar to this email:

Looks like we've lost touch with your Microsoft integration. As a result, the data exchange between the two systems is no longer operational.
It means that automated communications will not send while it is disconnected.

This indicates that the system is unable to send or retrieve emails until the connection is restored.


How to Check for Disconnected Email Profiles

  1. Navigate to Settings in your Kolleno dashboard.

  2. Select Emails.

  3. Look for any profile marked with Invalid connection or highlighted warning status.

How Kolleno Imports Emails After Reconnection

Once the email connection is successfully re-established, Kolleno begins a controlled synchronization process to ensure no duplicate emails are imported.

After reconnection, Kolleno scans the inbox and reviews only unread emails. During this process, each email is checked against a unique identifier to determine whether it already exists in Kolleno.

If the email is confirmed as unread and has not previously been imported, Kolleno will then import the email into the platform.

If an email has already been imported into Kolleno, it will not be imported again, even if it is manually marked as unread in the inbox. This prevents duplicate emails from appearing in Kolleno and ensures data consistency.
