Linking Your Customers to CreditSafe

How to map your customers to their CreditSafe identifiers so credit reports can be fetched in Kolleno.

CreditSafe identifies companies by its own identifier, not your customer reference. A credit report can only be fetched for a customer that carries one of these identifiers, so before anything appears in Kolleno we need to know which of your customers maps to which CreditSafe company. You send us that mapping as a file and we load it for you.

What to send us

A CSV with a header row and one row per customer, containing these two columns. Any other columns are ignored, so an export you already produce is usually fine.

What it holds

Customer reference

The customer's reference as it appears in Kolleno. We can also match on the Kolleno customer ID, or on the ID from the system your customers are imported from tell us which one you have used.

CreditSafe identifier

The Connect ID (for example GB-0-03836192), or the Safe Number if that is what your CreditSafe account uses.

Email the file to support@kolleno.com and let us know which identifier type the file contains. A Safe Number file replaces any Connect ID already held for those customers.

What happens when we load it

  • We run the file as a dry run first and tell you how many of your customers matched, before anything is written. Rows we cannot match are reported back so you can correct the reference.

  • Loading the file does not fetch any reports on its own it only records the identifiers.

  • The exception is if Pull a report for newly linked customers is switched on: each customer being linked for the first time then gets one report, within whatever allowance remains. See CreditSafe Report Allowance and Pull Settings for details.

Customers you take on later

Send a follow-up file containing just the new rows. There is no limit on how often you send one, and re-sending a customer that is already linked simply confirms the identifier it already holds.

Which customers are worth linking

Every report costs one credit from your CreditSafe contract, so linking everything is not always the right call. A common approach is to link your full book but restrict automatic pulls to customers who currently owe you something this keeps a limited allowance focused on the accounts that matter. Both the linking scope and pull scope are settings that can be changed at any time.
