CreditSafe Report Allowance and Pull Settings

How to configure your CreditSafe report budget, automatic pull schedule, and advanced limits in Kolleno.

Every credit report Kolleno fetches costs one credit from your CreditSafe contract whether it came from the daily job, the Refresh data button, or a manual refresh on a single customer. These settings decide who gets a report, how often, and how much of your contract Kolleno may spend before it stops requesting.

They live under Report usage & schedule on Settings → Integrations → CreditSafe, and each change saves as you make it.

The CreditSafe settings page is available to Admin users only. Automatic pulls are turned off by default — nothing is fetched and nothing is spent until you switch one on or manually request a report.

Your allowance

This is the budget Kolleno enforces on your behalf.

How many reports Kolleno has fetched in the current period, counting every route through which a report can be requested.

Report allowance

The cap Kolleno stops at. Leave it empty and no cap is applied on our side it is worth setting even if it only mirrors your contract figure.

Allowance period

Whether the allowance renews per year or per month.

Counted from

The date the period is counted from. Match it to your CreditSafe contract start date, or your figures and CreditSafe's will reset on different days.

Resets

The date the count starts again, calculated from the two settings above.

Advanced limits

Two optional guards are available under Advanced limits:

  • Minimum days between reports a customer whose latest report is newer than this number of days is skipped, so an automatic pull does not repeatedly re-purchase the same report. 180 days works out at roughly two reports per customer per year. Refreshing a single customer manually can override this.

  • Max reports per run a ceiling on any single pull, so one accidental full refresh cannot spend an entire year's allowance at once.

Automatic pulls

  • Refresh reports daily a daily job refreshes the customers selected below. Off by default.

  • Pull a report for newly linked customers fetches one report per customer the first time they are linked to CreditSafe.

  • Customers included either All linked customers, or Only customers with a balance. Narrowing this to customers who owe you something is the usual way to make a limited allowance cover the accounts that matter. This setting applies to the daily job and to Refresh data; refreshing one customer directly always refreshes that customer.

CreditSafe's own figures

Below your allowance, Kolleno shows what CreditSafe reports about your contract where your account exposes it.

That is the limit which actually refuses a call at CreditSafe's end, and it counts your entire contract including reports pulled outside of Kolleno so those numbers may be higher than yours. Treat them as context: the allowance above is the one Kolleno acts on.

Fetching a report when you need one

  • Every included customer click Refresh data on the CreditSafe settings page and then confirm.

  • One customer open the customer, go to Insights → Credit information, and choose Refresh report from the menu. If that customer was refreshed within the minimum-days window, you are asked to confirm before proceeding; refreshing anyway spends another credit.

When the allowance runs out

Kolleno stops fetching and displays a notice on the CreditSafe settings page rather than failing quietly. Nothing already stored is lost the figures you can see stay as they were, and pulls resume on the reset date, or sooner if you purchase more credits from CreditSafe and raise the allowance here to match.
