CreditSafe Credit Limits and Utilization Alerts

How CreditSafe and manual credit limits work in Kolleno, and how to set utilization alerts for each.

A customer in Kolleno can carry more than one credit limit. Kolleno keeps them separate rather than merging them, so you can see what CreditSafe thinks alongside what your team decided and be alerted against each independently.

Two limits, side by side

Find both limits on the customer under Settings → Credit Limit, each in its own section:

  • Manual the limit you set yourself. This is the operational limit: it reflects what your team agreed to extend, and it is the figure the rest of Kolleno works from.

  • CreditSafe the limit taken from the latest credit report. It is read-only, refreshed whenever a report is fetched, and exists so you can see CreditSafe's view alongside your own decision.

Utilization and the alert percentage

Each section shows current limit utilization the customer's outstanding balance as a share of that section's limit, with both figures shown beneath the bar so it is clear what is being divided by what.

Each section also has its own credit utilization alert: the share of the limit at which Kolleno should raise an alert. Because the percentages are separate, you can be warned early against your own limit and only near the ceiling against CreditSafe's or the other way around whichever matches how you use the two numbers.

Group limits and customer limits

A limit belongs either to a customer group or to a single customer, never to both:

  • Customers in a group share the group limit, and utilization is measured against the whole group's balance. This is intentional: a credit decision usually applies to the trading entity, not to each billing account under it.

  • A customer that is not in a group carries its own limit and its own utilization.

Letting CreditSafe set your operational limit

By default, the CreditSafe limit is information only. It never changes the manual limit, and nothing outside these two sections is affected by it.

If you would prefer Kolleno to use CreditSafe's figure as the operational limit, we can configure that for your account. Two things follow from enabling this, and both are the reason we ask first:

  • The limit is overwritten on every report that carries one, so a limit typed in by hand does not survive the next pull. The field is locked in the interface to make this visible rather than surprising.

  • Everything that reads the operational limit utilization, alerts, and any chasing that depends on them moves with CreditSafe's figure.

This is an optional setting and is turned off by default. Contact your Customer Success Manager or reach us at support@kolleno.com to enable it for your account.

If the CreditSafe section is empty

Either no report has been fetched for that customer or group yet, or the report carried no credit limit not every company CreditSafe holds has one. The Insights tab shows when the last report was fetched.
