Kolleno can set your customer portfolios from a custom field on your Vantage Online customers, for example a Profit Center field. Every night, Kolleno reads this field and puts each customer in the portfolio of its value.
Kolleno support turns on this feature for you. Tell us which Vantage custom field to use.
How Kolleno matches customers
Kolleno compares the Reference of each Vantage customer with the customer reference in Kolleno. The two must be the same, for example the account number in your ERP.
Kolleno makes one portfolio for each value of the field. The portfolio has the name of the value.
If a portfolio from Business Central has the same name as a value, Kolleno uses that portfolio. Its users, workflows and filters do not change.
What changes every night
If the value of a customer changes in Vantage, Kolleno moves the customer to the portfolio of the new value.
If you remove the value from a customer in Vantage, Kolleno removes the customer from these portfolios.
If Vantage has no customer with the same reference, Kolleno does not change the portfolios of that customer. This is also true for customers that are deleted in Vantage.
If two Vantage customers have the same reference and different values, Kolleno does not change that customer.
Names and changes in Kolleno
Kolleno ignores capital letters in a value, so "Commercial" and "COMMERCIAL" go to the same portfolio. The portfolio name uses the spelling from Vantage.
You cannot add customers to these portfolios or remove customers from them in Kolleno. Change the value in Vantage.
If someone renames one of these portfolios in Kolleno, the next sync sets the name back to the value in Vantage.
If you rename a value in Vantage, Kolleno makes a new portfolio with the new name and moves the customers to it. The users of the old portfolio do not move with the customers. Kolleno does not delete the old portfolio.
