Use Vantage Online with Kolleno

What Kolleno can do with Vantage Online: customer portfolios, invoice and credit note PDFs, and API calls from workflows.

Kolleno connects to Vantage Online for the three features below. Kolleno support sets up each one for you. Kolleno does not sync your invoices or customers from Vantage. They come from your accounting system, for example Business Central.

Customer portfolios from a Vantage field

Every night, Kolleno can put each customer in a portfolio from a Vantage custom field, for example a Profit Center field. See Set customer portfolios from Vantage Online.

Invoice and credit note PDFs from Vantage

  • Kolleno can get the PDF of an invoice or a credit note from Vantage. It uses the latest PDF that Vantage has for the document number.

  • Kolleno uses this PDF when it needs the document, for example when you download it or when Kolleno attaches it to an email.

  • Kolleno can get the PDF from Vantage only for some documents, for example the invoices with a reference that starts with a given prefix.

  • If Vantage has no PDF for an invoice, Kolleno can get the PDF from your accounting system instead.

Call the Vantage API from a workflow

An API Call step in a workflow can send a request to the Vantage API, to read data from Vantage or to send data to it. The Vantage API documentation lists the endpoints.

  1. Ask Kolleno support to add a Vantage connection for your company. Give us the user name and the password of a Vantage user for the API. We recommend a Vantage user that only Kolleno uses.

  2. In the workflow, add an API Call step. See Make an API Call with Kolleno Workflows.

  3. In Authentication, select the Vantage connection.

  4. Enter the URL of the Vantage endpoint. It starts with https://api.vantage.online.

Kolleno logs in to Vantage for you and gets a new login when the old one expires. Do not put a password or a token in the step.

To use workflow data in the request body, see Using Template Variables in API Request Bodies for Workflows. To check the requests that a workflow sent, see View the API Calls a Workflow Sent.
