Business Central credit note PDFs in Kolleno

How Kolleno retrieves credit note PDFs from Microsoft Dynamics 365 Business Central, and how this differs from invoice PDFs.

Kolleno retrieves credit note PDFs directly from Microsoft Dynamics 365 Business Central, where they are known as sales credit memos. This works as soon as your integration is connected, with no additional setup.


When the PDF is fetched

Credit note PDFs are not brought across with the regular data sync. The document is requested from Business Central each time it is needed, whether you download it in Kolleno, attach it to an email, or your customer views it in the payment portal.

Unlike invoice PDFs, credit note PDFs are not stored in Kolleno between requests. Every download is a fresh copy, so the document is always current, though it can take a moment longer to open and needs the Business Central connection to be live at that moment. The file is named using your company name, the credit note reference and the date it was issued.


If credit note PDFs are not appearing

As with invoices, some Business Central tenants do not expose the standard PDF endpoint, most often where documents are produced by a custom report layout.

First check that the Kolleno Business Central Extension is installed, and that the integration is still connected under Settings ➡️ Integrations.

If both are in order, we can retrieve credit note PDFs from a custom endpoint instead: an endpoint published in your environment, such as a Print Report codeunit, that generates the document on request. Our team configures this for you.

The document attachment and SharePoint methods available for invoice PDFs are not currently supported for credit notes. If your credit memos are stored in either place, email support@kolleno.com and we will advise. Please include an example credit note reference that has no PDF in Kolleno.


Using SFTP instead

If you already publish credit note PDFs to a file share, Kolleno can collect them over SFTP. This is enabled separately from the equivalent setting for invoices, so you can use SFTP for one and Business Central for the other. Once enabled, SFTP becomes the primary source, with an optional fallback to Business Central that is switched off by default.
