Showing Salesforce Record IDs as a Column and Filter

Display Salesforce record IDs as columns and filters on your Kolleno lists for quick lookups.

Every Salesforce object you sync into Kolleno has an Id field, the record ID Salesforce gives to each Account, invoice or other record. Kolleno uses it to match records and to build the link that opens the record in Salesforce.

You can also show that ID as a column on your Kolleno lists and filter by it. This helps when your team, or another system, refers to customers by their Salesforce ID: paste the ID into the filter and go straight to the customer.

Turning On the Column and Filter

  1. Open your Salesforce configuration and go to the Customers tab (or Invoices for an invoice-level object).

  2. Find the row marked Auto Id. It has a lock icon because Kolleno manages it.

  3. Switch on Show as column + filter on that row.

The change saves straight away. The row then shows where the column appears, for example Shown as [SF] Id on Customers.

Where the Column Appears

The column is named [SF] followed by the field label, for example [SF] Id.

  • Add it to your view from the column picker on the list.

  • Filter by it from the list's filter menu.

By default it appears on the list the object belongs to: Customers for a customer object, Invoices for an invoice object. To show it on other lists as well, pick them under Also show on, which appears once the switch is on.

Settings

  • Show as column + filter: Adds the ID as a column and a filter on the object's own list.

  • Also show on: Adds the same column and filter to other lists, such as Invoices, Payments or Credit notes.

Turn the switch off to remove the column and filter again. The ID itself stays in place and keeps working for matching and Salesforce links.

What You Cannot Change

The Auto Id row is set up by the Salesforce setup wizard. You can only choose whether it shows as a column and filter, and on which lists. Its label, Salesforce field and formatting are fixed, and the row cannot be deleted or made editable, because Kolleno relies on it to match records.

If you do not see the Auto Id row or the Show as column + filter switch in your Salesforce configuration, contact your Customer Success Manager or Kolleno Support and we will set it up for your account.
