DocuSign must be connected in Settings → E-Signature. The document must be stored on a customer record and must be a PDF, DOC, or DOCX file smaller than 20 MB.
Each request includes one document and one signer.
Which documents can be sent
The file has to be a PDF, DOC or DOCX. Other file types show nothing in the Signature column.
The file has to be under 20 MB.
The file has to belong to a customer. A file held outside a customer record cannot be sent, because the signed copy is stored on the customer.
Each request covers one document and one signer. To collect two signatures, send the document twice or combine the signing in DocuSign itself.
Send a document for signature
Open the Customer and go to the Files tab.
Find the document and, in the Signature column, click Send for signature.
Choose the signer:
Optionally change the email subject.
Click Send.
DocuSign emails the request to the signer and the Signature column changes to Sent.
Signature statuses
Sent | The request was sent to DocuSign and emailed to the signer. |
Delivered | The signer opened the request. |
Completed | The document was signed. The signed PDF and audit trail are available. |
Declined | The signer refused to sign. Use Resend to send a new request. |
Voided | The request was canceled or expired. Use Resend to send a new request. |
Access the signed document
When the document is completed, Kolleno stores a new signed PDF with the DocuSign Certificate of Completion on the same customer. The original file remains unchanged.
Click Download signed document on the original file row to download the signed copy. The signed file is not shared with the customer automatically; share it from the Files tab if it should appear in the Customer Portal.
Review the audit trail
On a completed request, click the status chip to open the audit trail. It records the signer, the sender, key timestamps, and DocuSign envelope events.
Automatic signature requests
A web form configured to collect a signature can generate a PDF and send it for signature automatically. The resulting request follows the same status, signed-document, and audit-trail process.
