In Kolleno, chasing can be toggled on or off for individual customers and invoices. If a team member accidentally pauses chasing on the wrong record, automated communications stop which can delay collections without anyone noticing.
The Chasing (customers & invoices) permission lets Admins control which users are allowed to toggle chasing on or off, reducing the risk of unintended disruptions.
What the Permission Controls
A single permission governs chasing for both customers and invoices. When this permission is disabled for a user, they cannot:
Toggle chasing on or off for a customer
Toggle chasing on or off for an invoice
Use bulk actions to pause or resume chasing for multiple customers
Use bulk actions to pause or resume chasing for multiple invoices
When enabled, the user can freely toggle chasing status across all records they have access to.
Where to Find It
The Chasing permission appears in two places:
On an individual user
Go to Settings → Users & Permissions → Users.
Click on the user you want to edit.
In the permissions section, locate the Chasing (customers & invoices) toggle and switch it on or off.
Save your changes.
On a User Group
If you use User Groups, this permission is included in the group's permission set. Enabling or disabling it on a group applies the setting to all active members at once.
Go to Settings → Users & Permissions → User Groups.
Open the relevant group and navigate to the Permissions tab.
Toggle Chasing (customers & invoices) on or off.
Save and confirm.
Default Behaviour
Admins always have chasing access regardless of this toggle.
For Members, the permission can be individually enabled or disabled by an Admin.
If a user is a member of an active User Group, the group's Chasing setting overrides their individual toggle. Their individual toggle will appear read-only.
Important Notes
One permission covers both customer-level and invoice-level chasing. It is not possible to grant chasing access for invoices only or customers only.
Admins cannot modify their own chasing permission toggle this is protected by the system to prevent accidental self-lockout.
Disabling this permission does not affect any currently paused or active chasing records it only prevents the user from making future changes.
