Dynamic Filters for Customer Portal and Statements

Guide to setting up and saving dynamic filters to control which invoices, credit notes, and payments customers see in the Customer Portal and Statements

Kolleno allows you to customize which Invoices, Credit Notes, and Payments are visible to your customers on the Customer Portal and in their Open Invoice / Transaction Statements.

These settings are controlled through dynamic filters stored in your company profile. Kolleno Support can set these up for you based on your requirements (e.g. to include or exclude certain records).


Step-by-step

Pick the area to configure

Go to the relevant tab in Kolleno and open its Dynamic Filters Table View:

  • Invoices tab → configure filters for invoices

  • Credit Notes tab → configure filters for credit notes

  • Payments tab → configure filters for ERP transactions/payments

Build your Dynamic Filters

  • In the table view, click Filters & Columns

  • Add filters you require (you can combine multiple)

Save the Table View (Prefix matters)

Each object has a customer table view that we reference. Please save your filtered view using the following prefix format for naming:

  • For Invoice filters → save as: Statement Selection

  • For Credit Note filters → save as: Statement Selection

  • For Payments filters → save as: Statement Selection

Share the filters with Kolleno Support

Send us the following:

  • The object you’re configuring (Invoices / Credit Notes / Payments)

  • The saved table view name (must match the exact values above)

  • A URL of the environment you have configured the filter on.

  • A screenshot (optional but recommended)

We will then update the corresponding company setting so the Customer Portal and Statements reflect your chosen filters.


Available Dynamic Filter Settings

  1. Setting Code: "customer_portal_invoices_to_display_dynamic_filters"

    • Controls which Invoices are shown in the Customer Portal and statements.

    • Example use cases:

      • Hide invoices with certain statuses

      • Show only invoices from a date range

      • Filter invoices by customer group

  2. Setting Code: "customer_portal_credit_notes_to_display_dynamic_filters"

    • Controls which Credit Notes are shown in the Customer Portal and statements.

    • Example use cases:

      • Show only credit notes from the past 12 months

      • Exclude specific credit note types

      • Hide credit notes with certain statuses

  3. Setting Code: "customer_portal_transactions_to_display_dynamic_filters"

    • Controls which Payments (ERP) that are shown in the Customer Portal and statements.

    • Example use cases:

      • Show only payments from a date range

      • Exclude certain payment types

      • Filter by payments amount or status
