Browse, upload and delete files in your SFTP folder

View your SFTP folder as it actually is, and upload, download or delete files without an SFTP client.

If you are an admin of your Kolleno instance, you can browse your SFTP folder directly in Kolleno. This is a live view of the folder as it sits on the server, including files and subfolders Kolleno does not import, and it lets you upload, download and delete files without opening an SFTP client.

This is different from the processed files list, which shows only the CSV files Kolleno has picked up and how their import went. You can reach that list with the Files processed button at the top right of this page, and it is covered in View CSV files uploaded in SFTP folder.

Opening the file browser

  1. Go to your Settings.

  2. Click Accounting.

  3. Scroll down on the right until you see CSV via SFTP.

  4. Click Browse SFTP.

What the list shows

Each row is a real object in your SFTP folder.

Column

What it means

Name

Folders are listed first and open when clicked. Files show their name as uploaded.

Size

The size of the file on the server.

Last modified

When the file last landed or changed.

Status

How the CSV connector treated the file.

Status only ever applies to files inside the csv_data_uploads folder, because that is the only folder Kolleno imports from. Anything elsewhere shows Not tracked, which means Kolleno is storing it but has never read it.

Queued

Kolleno has the file and will import it shortly.

Processing

The import is running now.

Processed

The import finished.

Failed

The import did not complete.

Not tracked

Outside csv_data_uploads, so never read.

Moving around folders

Click a folder name to open it. The breadcrumb above the table shows where you are, and clicking All files returns you to the top.

The page address updates as you move, so you can bookmark a folder or paste the link to a colleague and they will land in the same place.

Searching

The search field looks through every file in the folder, at every level, not just the level you are viewing. That makes it the quickest way to find one file when you do not remember which folder it went into.

Click Clear to return to the normal listing.

Refreshing

The refresh icon sits at the right-hand end of the path bar. Kolleno caches the folder listing for a short time, so if you have just uploaded a file over SFTP and cannot see it yet, click refresh.

Downloading a file

Click Download on the row. The download link is created at the moment you click it and expires shortly afterwards, so use the button again rather than saving or sharing the link.

Uploading files

  1. Click Upload files.

  2. Choose up to 10 files at once.

Files land in the folder you are currently viewing, so open csv_data_uploads first if you want Kolleno to import them.

If you are uploading into csv_data_uploads and a file name does not begin with a category Kolleno recognises, you will be asked to confirm before it is sent. Kolleno will still store the file, but it will never be imported. The recognised prefixes are customers_, contacts_, invoices_, credit_notes_, payments_, credit_notes_invoices_ and payments_invoices_. Please refer to this data format article.

Creating a folder

Click New folder, type a name, then click Create. The folder is created inside the folder you are viewing.

Deleting files

  1. Tick the checkbox on each file you want to remove, or use Delete on a single row.

  2. Click Delete selected.

  3. Confirm.

Deleting cannot be undone from Kolleno, so check the selection before you confirm.
