Pause all workflows at once

Stop every workflow for your company at once, and resume later on where processing stopped.

Pause all workflows is a company-wide switch that stops every workflow in Kolleno from running. It is the fastest way to stop all automated chasing at once, without editing or deactivating individual workflows.

What it does

While the switch is on:

- No workflow for your company is picked up by the automation schedule.

- Running a workflow manually is blocked.

- Any workflow already running finishes the batch it is on and then stops. It does not start another batch.

Each workflow keeps its own active or inactive status. Pausing does not switch your workflows off, so you do not have to reactivate them one by one afterwards.

How to pause and resume

  1. Go to Settings and open Automation settings.

  2. Click on the clog icon and pause all workflows on. It takes effect immediately.

  3. To resume, switch it back off. Workflows are picked up again on the next scheduled run.

Where workflows resume from

Nothing is lost or reset. Every record in a paused run keeps its position in the workflow, so when you switch the pause off, processing continues from where it stopped (given the records in the workflows still match the conditions to be in the related workflows). Records do not restart at the first step, and steps they had already passed are not repeated.

Emails that a workflow had not yet sent when you paused are not sent while the pause is on. They go out once you resume, at the point the workflow reaches them again.

What is not affected

The switch only covers workflow automation. These continue as normal:

  • Emails you send manually from a customer or invoice.

  • Bulk communications you trigger yourself.

  • Accounting and payment integrations, including invoice and payment syncs.

  • Scheduled reports.

  • The customer portal and payment collection.

When to use it

Typical reasons to pause everything:

  • A data import or accounting sync has produced incorrect balances and you do not want customers chased on them.

  • A public holiday, company shutdown or period end when no chasing should go out.

  • You are making significant changes to your workflows and want to review them before anything sends.

  • An incident where you need all outbound automation stopped immediately.

To stop chasing for a single customer rather than the whole company, use Pause chasing on that customer instead. To stop one workflow, deactivate that workflow.

Frequently asked questions

Does pausing delete anything? No. No workflow, schedule or customer progress is changed. The only change is that nothing runs until you resume.

Will customers be chased twice when I resume? No. Each customer keeps the step it had reached, so it moves on from there rather than starting again.

How long can I leave it paused? As long as you need. The pause never lifts on its own, so remember to switch it back off when you want chasing to restart.
