Tagging Transactions, Payments, and Credit Notes

Learn how to add, view, and filter tags on your transactions, Kolleno payments, and credit notes across Kolleno.

Tags in Kolleno are a powerful way to classify and filter your financial records. Previously, tagging was available for customers and invoices. Tagging has now been extended to transactions (ERP payments), Kolleno payments (payment charges), and credit notes giving you a consistent way to label and filter all key record types in one place.

Tags can also be used as dynamic filters in tables, workflows, and the Kolleno ERP tables, including the main payments table and customer hub payment views.


Adding a Tag to a Payment, Transaction, or Credit Note

  1. Navigate to the relevant table — Payments, Transactions, or Credit Notes — from the left-hand navigation.

  2. Locate the record you want to tag.

  3. Click on the record to open its detail view, or locate the Tags column directly in the table.

  4. Click the Tags field on the record.

  5. Select one or more existing tags from the dropdown, or type to search.

  6. Your selection is saved automatically.


Removing a Tag

  1. Open the record detail or locate the Tags column in the table.

  2. Click the tag you wish to remove.

  3. Deselect the tag from the dropdown — it will be removed immediately.


Viewing Tags in the ERP Table

Tags are now available as a column in the Kolleno ERP tables, including

  • The main payments table

  • The payments table at the customer hub level

To add the Tags column to your view:

  1. Open the relevant ERP table.

  2. Click the Columns or Manage Columns option.

  3. Enable the Tags column.

  4. The column will now display any tags associated with each payment record.


Filtering Records by Tag

You can use tags as dynamic filters in your tables and workflows.

In a table:

  1. Open the Payments, Transactions, or Credit Notes table.

  2. Click Filters in the table toolbar.

  3. Select Tags or Tag Category as the filter field.

  4. Choose your operator: is, is not, or is empty (for untagged records).

  5. Select the tag(s) or category to filter by and apply.

In a workflow:

  1. Navigate to Workflows and open or create a workflow.

  2. Add a filter condition and select Tags or Tag Category.

  3. Configure the condition (e.g. tag equals "Disputed") and save.
