Using Custom Fields and Columns for your data

Custom fields allow you to extend your invoice data with company specific information beyond Kolleno's standard fields

Custom fields allow you to add new data fields to your Invoices and Customes levels beyond Kolleno's standard fields. These are not imports of existing data they are new, blank fields that you create and populate directly in Kolleno to track information specific to your business (e.g., internal reference numbers, project codes, or custom dates).

Once configured by your Customer Success team, these fields appear as editable columns on your invoice list, giving you full control over what you track.


How to View and Edit Custom Fields

Making Custom Fields Visible

Once the fields are confirmed to be added please follow this guide:

  1. Navigate to the expected page (e.g. Customer Page, Invoice Page)

    Click Filters & Columns in the top menu bar

  2. Scroll through the available column options

  3. Enable the custom field(s) you want to see by clicking the eye icon next to the field name

  4. Click Apply to save your column selection

Editing Custom Field Values

  1. Locate the custom field column in your invoice list

  2. Click directly on the cell you want to edit

  3. Enter or select the appropriate value (depending on field type: text, number, date, etc.)

  4. Click Save to confirm your changes


Field Types

Custom fields can be configured in different formats depending on your needs:

  • Text fields β€” for reference numbers, notes, or labels

  • Date fields β€” for tracking custom deadlines or milestones

  • Number fields β€” for amounts, quantities, or scores

  • Yes/No fields β€” for flags or status indicators
