Payments Applied to Multiple Customers in QuickBooks

Kolleno automatically splits payments across linked customers when syncing to QuickBooks to comply with QuickBooks requirements.

QuickBooks links each payment to a single customer. When your payment covers invoices from different customers, Kolleno splits it to match QuickBooks requirements.


How It Works

Kolleno automatically:

  1. Splits the payment by customer amount

  2. Creates individual payment records in QuickBooks

  3. Applies each payment to the correct customer's invoices

  4. Links all QuickBooks payment IDs back to your original Kolleno payment


Example Scenario

Payment received: $1,000

Covers:

  • Invoice A: $600 (Customer X)

  • Invoice B: $400 (Customer Y)

In QuickBooks:

  • Payment 1: $600 → Customer X → Invoice A

  • Payment 2: $400 → Customer Y → Invoice B

In Kolleno:

  • Single $1,000 payment record with both QuickBooks payment IDs stored


Reconciliation

Your payout reconciliation works normally. Kolleno tracks the split payments as one transaction, ensuring your reports match your actual payouts.


Error Handling

If an error occurs during sync:

  • Successfully created payments are preserved in QuickBooks

  • The error is logged for review

  • Retrying skips already-processed customers

  • No duplicate payments are created
