When an invoice is already paid in Kolleno and the payment is processed through Stripe, any crediting action must be performed directly in NetSuite. Kolleno does not allow creation or application of credit notes from within the platform.
Below is the expected workflow and how it appears in Kolleno once NetSuite syncs the credit memo.
1. The Invoice Appears as Fully Paid in Kolleno
Once the customer pays through Stripe in the Customer Portal, the invoice in Kolleno updates automatically to a Paid status.
2. Payment Automatically Syncs into Kolleno Payments
Kolleno retrieves the Stripe payment reference and displays the payment as Paid under Kolleno Payments.
3. Credit Notes Must Be Created in NetSuite (Not in Kolleno)
Kolleno does not support creating credit notes internally.
To credit a paid invoice:
Create an open Credit Memo in NetSuite for the amount you want to credit.
This credit memo can be applied to future invoices the customer wants credited.
Important
Kolleno cannot apply or reconcile credit notes.
All credit application must be handled in NetSuite.
4. After Sync, Kolleno Shows an Unapplied Credit Note
When NetSuite syncs, the credit memo appears under the Credit Notes tab in Kolleno as Unapplied.
This is expected behaviour. These credit notes cannot be applied inside Kolleno.
