Payouts Not Reconciling into QuickBooks

Fix QuickBooks payout error 6000 by setting Undeposited Funds to “Other current assets → Undeposited Funds”.

If your payouts are not reconciling into QuickBooks from Kolleno, you may see this error:

QB Exception 6000: A business validation error has occurred while processing your request Business Validation Error: Transaction cannot be applied to Deposit. Either Referenced Transaction's Account is incorrect or the Transaction has already been applied to another Deposit

Why this happens

This error usually occurs when the Undeposited Funds account is not correctly configured in your QuickBooks integration settings. QuickBooks requires a specific account type for handling deposits.

What to check in QuickBooks

  • Open QuickBooks and go to Chart of Accounts.

  • Confirm that you have an account with:

    • Type: Other current assets

    • Detail Type: Undeposited Funds

  • If missing, create a new account with these details. You can enter whatever you want for the 'Account name' and 'Account number'.

How to fix it

  1. Go to Kolleno Settings

    • Navigate to Integrations → QuickBooks → Settings.

  2. Locate the “Undeposited Funds” setting.

  3. Select the correct QuickBooks account:

    • Account Type: Other current assets

    • Detail Type: Undeposited Funds

  4. Save your changes.

After updating

Once the correct account is selected in Kolleno, payouts will reconcile automatically. For past payments and payouts, you will need to handle them manually.
