A calculated field is a value that Kolleno works out from other fields, using a formula set up for your account. It appears in Kolleno like any other field: as a column, a filter and a workflow condition.
What a calculated field is
Some examples:
Net overdue = Balance overdue − Prepayments − Credit notes remaining, never below 0
Overdue share % = (Balance overdue − Prepayments) ÷ Balance × 100, between 0 and 100
Gap to balance = Balance overdue − Prepayments − Credit notes remaining − Balance
The value is worked out each time you open a list or a workflow runs, so it is always up to date and never needs a sync.
Where you can use it
Lists: on Customers, Invoices, Credit notes, Payments, Bank lines and Tasks, a calculated field is a column you can add to your table view, sort by and export.
Filters: in tables, for example "Net overdue is less than or equal to 0".
Workflows: as a condition, for example to release only customers whose unapplied payments cover their overdue amount.
Calculated fields for Customer groups and Contacts are available as filters and workflow conditions.
For how a formula is put together, see Build a calculated field from a formula.
Requesting a calculated field
Calculated fields are set up for your account by Kolleno. To request one, or to rename or remove one, contact Kolleno Support (support@kolleno.com) with the name you want and how the value should be worked out. Kolleno checks the result with you before it goes live.
