Custom Record Value Workflows

Automate workflows using custom fields and automate follow-up actions based on specific criteria within those groups.

Custom Record Value Workflows allow you to organize and automate communications for invoices grouped by custom fields from your accounting system (ERP). This is particularly useful when you need to manage collections by project, matter, department, or any other custom grouping field in your invoice data.


Creating a Custom Record Value Workflow

  1. Go to Automation in the main navigation

  2. Click + Add to create a new workflow

  3. Choose When a transaction matches certain conditions

  4. Select Custom Record Value Follow Up from the trigger list

  5. Configure your workflow trigger filters:

    • Set invoice criteria

    • (Optional) Add custom record value filters to target specific groups

  6. Complete your workflow actions as normal


Filtering by Custom Record Values

To make your workflows more targeted and specific, you can add Custom Record Value filters when setting up your workflow trigger. This allows you to control which groups are included in the automation.

Example Combined Setup:

  • Custom Record Value filter: Name contains "Commercial"

  • Invoice filter: Balance greater than or equals $5,000


How It Works

  • The workflow evaluates all existing custom record groups

  • A group enrolls in the workflow only if at least one invoice within that group meets your filter criteria

  • Only the qualifying invoices from that group are enrolled, not all invoices in the group
