Create and publish a letter template

Upload a Word document, set up its input fields, check a sample PDF and publish the template.

You need the Manage letter templates permission.

Create the template

  1. Go to Automation > Letters.

  2. Click Create letter template.

  3. Enter a name, and choose the type, category and language.

  4. Click Create template.

Upload the Word document

On the Details tab, click Upload .docx and choose your file. If the file has a problem, Kolleno lists it and does not upload the file. Fix it in Word and upload again.

Kolleno can also list points to check in Word, such as a font it does not have. These points do not stop you from publishing.

Set up the input fields

The Input fields tab lists each input field in the document. For each one, set:

Setting

What it does

Label

The name the user sees on the letter form.

Type

Text, Number, Money or Date. Kolleno checks the value against it.

Required

A required field needs a value before the letter is generated. An optional field can stay blank.

Filled by

A smart field fills the value from Kolleno. With Entered by the user, the user types it.

Drag the rows to set the order of the letter form. Then click Save input fields.

Publish

  1. Click Publish version 1.

  2. Check the sample PDF. It fills every field with long made-up values, so you can see how long text fits.

  3. Publish the version.

New letters use the published version. You cannot change or delete a published version.

Change a published template

  • Upload a new Word document on the Details tab. It starts a draft of the next version. Publish it when it is ready.

  • To start again from an older version, open Version history and click Use as draft.

  • Letters that already started keep the version they started with.

Turn a template off

Turn off Active on the Details tab. The template no longer shows when users choose a template, and Kolleno keeps its versions. You can delete a template that was never published with Delete template.
