The Task Manager uses three different indicators to tell you something has changed on a task. They work independently — you might see all three at once, or just one, depending on what happened.
1. The coloured dot on a task card
When something happens on a task — a new email arrives, an action is assigned to you, a deadline is approaching — a small coloured dot appears on the task card in your queue. The colour tells you what type of event triggered it.
How to clear it: Click the task card. The dot disappears as soon as you open it.
If the system automatically opens a task for you when you first load the page, the dot stays visible on purpose — it won't clear until you manually click the card.
2. The "New events" banner inside a task
When you open a task you haven't looked at in a while, you may see a blue "New events" banner inside the timeline. This separates the events you've already seen from the ones that arrived since your last visit.
How to clear it: Scroll past the banner — once it moves out of view, everything is marked as seen and the banner disappears. Or scroll all the way to the bottom.
There's also a floating "New events (3)" button at the bottom of the timeline if there's new activity further down. Click it to jump straight to the latest events.
If new actions have been added or completed on a task since you last looked, the relevant tab inside the task shows a small unread count. How to clear it: Open the task — the count clears automatically.
3. Scheduled alerts
On top of the unread indicators above, the Task Manager also sends you alerts when deadlines are approaching or have passed.
What triggers the alert | Who sees it | When |
An action was assigned to you | You | Immediately |
An action you assigned was completed | You | Immediately |
A new email arrived on a task | Everyone on the task | Immediately |
A new call or SMS arrived on a task | Everyone on the task | Immediately |
A task deadline is due within 24 hours | Everyone on the task | Within 15 minutes |
A task deadline has passed | Everyone on the task | Within 15 minutes |
An action due date is approaching or has passed | Everyone on the task | Within 15 minutes |
A Promise to Pay is due within 24 hours | Everyone on the task | Within 15 minutes |
A workflow task assigned to you is due or overdue | You | Within 15 minutes |
Deadline alerts are checked every 15 minutes. You can dismiss individual alerts — dismissed alerts are kept in your history.
