Transitioning from One ERP to Another - New Kolleno Instance

When switching to a new ERP system, Kolleno provides a structured process to ensure continuity and access to historical data.

Access to Both Kolleno Accounts

We will create a new Kolleno account linked to your new ERP system while keeping your existing account accessible. This setup allows your team to:

  • Use the new account for current and future operations

  • Refer to the old account for historical logs and notes

  • Avoid risks associated with transferring customer notes across systems with differing references and unique identifiers

Note: We do not migrate historical notes or activity due to the high risk of mismatched data from differing ERP identifiers.


What Will Be Migrated

Kolleno will:

  • Copy email templates, workflows, and portfolios from the old account to the new one

  • Ensure automation rules are preserved

  • Transfer your email address and phone number to the new environment once you're ready to switch


Transition Timeline

To ensure a smooth transition, we recommend the following steps:

  1. Gain access to the new Kolleno account
    We will notify you once it’s ready to use.

  2. Review and validate templates, workflows, and portfolios
    Confirm that everything has been copied across as expected.

  3. Continue using the old account for reference
    Keep the original account accessible for historical data and activity lookup.

  4. Notify Kolleno well in advance before switching
    Let us know when you’re ready to go live in the new environment. We recommend notifying us at least 5 business days in advance.

  5. We’ll move your contact details (email and phone)
    These will be disconnected from the old account and connected to the new one on the agreed date.

  6. Begin using the new account exclusively
    Once the switch is complete, you can retire the old account operationally while keeping it accessible for reference.
